Building TailTrack: a SaaS platform for pet-care businesses

TailTrack is a SaaS platform designed to replace the mix of forms, messages, spreadsheets, calendars and payment links used by independent dog walkers and pet sitters. We planned, designed and developed the platform into a live subscription product with connected booking requests, scheduling, payments, pet-care records and a client portal.

A product created from a real admin problem

Independent pet-care businesses often grow through reputation and personal service. Their systems tend to grow more gradually: enquiries in messages, client information in forms, walks in a calendar, pet-care notes somewhere else and payments through another tool.

TailTrack began with a straightforward question: what if requests, bookings, payments and pet details were designed as one connected journey from the beginning?

Turning a client requirements into a perfect peice of software

Pet care contains more operational detail than a simple appointment form suggests. The product needed to make this manageable without removing the business owner’s control.

We prioritised clear review points, connected records and a workflow that could support both recurring work and one-off care without forcing the business into a generic calendar model.

A booking journey built around real decisions

Rather than adding another disconnected tool, we designed the journey as one connected system. It starts with the way each business works, keeps the people, pets and decisions together, then carries the agreed work into planning, payment and care records.

We chose a request-and-review model over uncontrolled self-booking, so availability and suitability remain decisions for the business. The customer sees a clear next action while the business retains the context it needs to respond with confidence.

Early product work focused on how pet-care businesses already managed enquiries, bookings and customer records. Conversations and testing with working professionals helped expose where software needed to support judgement rather than remove it.

Build, test and improve the live product

TailTrack moved from workflow mapping and early user feedback into a live SaaS product. Product design, full-stack web development, onboarding, transactional email, subscription journeys and automated regression testing were treated as one delivery process rather than separate projects.

Multi-tenancy

TailTrack is used by separate pet-care businesses, each with its own services, branding, clients, pets and records. We designed it as a multi-tenant SaaS platform rather than an admin panel for one organisation.

That meant making product-wide decisions about permissions, business configuration, branded public routes, secure client access, subscription plans and data relationships that stay understandable as the product grows.

At a technical level, we separated the responsive Next.js frontend from the Laravel application API and PostgreSQL relational data layer. Tenant boundaries are applied through the application model, while cloud deployment, transactional email and end-to-end tests support reliable ongoing releases.

TailTrack is now a live SaaS platform through which independent dog walkers and pet sitters can bring key booking and client-administration tasks into one connected system.
